About us

Valley Connections Counselling Inc is a private mental health clinic with offices in Dundas and Burlington, Ontario. We provide counselling and psychotherapy to individuals, couples, and families. We are a team of Registered Psychotherapists, Child Life Specialists, and Mental Health Interns who are committed to providing evidence-based, relational-focused treatment to people of all walks of life.


Description:

As a result of our growth, we are currently looking for an Office Administrator to join our team. This position is 5 days per week.


Who we are:

Valley Connections Counselling is a private practice that provides evidence-based, relational-focused counselling and therapy in Dundas and Burlington. Our staff include Registered Psychotherapists, Counsellors, Child Life Specialists and Masters Students offering services in individuals of all ages, couples, families and groups. We are trauma-informed, LGBTQIA positive and we welcome clients from all backgrounds.

Our owner and Executive Director, Amanda Youssef, and our Clinical Director, Kiara Panetta value relationships and connection. They have created and works hard to maintain a productive, inviting, and enjoyable working environment. Staff are treated with the utmost respect and are highly valued. Our office is a busy, safe, and healing place for our 1,200 plus clients who come from all walks of life.


Who we are looking for:

The goal of this position is to own and lead administrative tasks, enabling the Executive Director and therapists to focus on clinical work.

We are seeking a dependable, patient, hard-working, detail oriented person who is motivated to work in a small, team environment providing support to our staff and exceptional service to our clients.

Due to the nature of our business, we are looking for an individual who understands the importance of confidentiality and feels comfortable working in an oftentimes unpredictable environment. We are a closely knit team, therefore we are looking for a loyal candidate, who understands the importance of long-term job commitment. Experience working in a healthcare setting is a must.


THE ROLE

Office Management

Complete various administrative duties as required, such as processing invoices, general inquiries, company mailings, shipments/deliveries.

Maintain computer and manual filing systems.

Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies.

Provide attention to detail as you prepare documents and various correspondence.

Handle sensitive information in a confidential manner.

Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

Resolve administrative problems in a timely manner.

Maintain office upkeep including taking out trash, vacuuming, wiping counters, sanitizing, and other duties as assigned.


Social Media

Create content, update and maintain business Facebook and Instagram accounts on a weekly basis.


Executive Director and Staff Support

Provide support as needed and by request.

Manager calendars and coordinate office rooms as needed.

Update and maintain business website as directed.

Assist with planning and executing quarterly events and other special projects

Assist with onboarding new team members and interns.

Communicate office related and Executive Director updates in a professional and timely manner.


Client Support

Perform receptionist duties and responsibilities including responding to client correspondence in a timely manner.

Organize and schedule appointments for staff with clients as needed.

Collect and process fees from clients.

Draft and send any business related correspondence to clients with confidentiality at the forefront at all times.


Requirements:

5+ years of experience in an administrative role

Experience and interest in working with a small business

Experience working in the healthcare industry

Proven ability to manage workload efficiently, attention to detail and organizational skills

Communication, both written and oral, is imperative for this position

Proficiency with Google Suite

Ability to work onsite at both our Dundas and Burlington offices

Must be comfortable with our therapy dogs

COVID-19 considerations: currently, the majority of our clients are met with virtually, however, our staff are working onsite. This position requires onsite hours daily. Vaccination is required.


Full-time hours: 35 per week

Expected start date: 2021-12-06

Job Types: Full-time, Permanent

Salary: $22.00-$27.00 per hour

COVID-19 considerations:

All staff must be fully vaccinated. Masks are worn in common areas. Common surfaces are disinfected regularly. Virtual sessions are offered to clients.

Child/Play Therapy

Child/Play Therapist

We are seeking an experienced Child Therapist to join our team.  


The ideal candidate will have a Masters degree in Counselling, Psychology, Psychotherapy, or Social Work and be in good standing with a regulatory college, and will have specialized training and experience providing play/art and talk therapy to children ages 5 to 15.  This therapist will also have skills to train and support the parents of their child clients.


This position will require the therapist to provide virtual and in-person therapy at our Dundas location.


This is a subcontractor position offering a generous split based on experience.


This position will remain open until filled.

Couples Therapy

Individual and Couples Therapist

We are seeking an experience Individual and Couples Therapist to join our team.


The ideal candidate will have a Masters degree in Counselling, Psychology, Psychotherapy, or Social Work and will be in good standing with a regulatory college, and will have experience providing individual and couples therapy to adults ages 19 and up.  This therapist will have specialized training in DBT, EMDR, Imago, the Gottman Method, Emotion Focused Therapy, or other evidence-based approaches.  This therapist is comfortable working with clients presenting with relationship difficulties, eating disorders, trauma and abuse, emotion dysregulation, and interpersonal issues.


This position will require the therapist to provide virtual and in-person therapy at our Dundas location.


This is a subcontractor position offering a generous split based on experience.


This position will remain open until filled.
